About the person

We are looking for...a highly organised and efficient coordinator to join our Production team, to support and enable seamless processes and delivery of very detailed work.

About the role

• Timely and proactive management of Copy Instructions to TV & Radio Stations
• Timely and proactive management of local and Copyclear, copy clearance during Production Phase.
• General support to all producers including:
• Acting as researcher
• Providing Paprika/Work Book support
• Travel coordination for Production shoots
• Administration support
• Booking VO's, recording studios & completing associated paperwork
• Provision of timely budget reconciliation and complete understanding of finance process
• Responsible for Inventories to be processed and filed for all productions
• Works in a gang structure with members from every discipline
• Knowledge in their world of creative outputs
• Knowledge of our in house capabilities
• Responsible for looking at better ways to make the department run more smoothly and efficiently from an administrative point of view.
• Contract support for Business Affairs and Producers for Artists, Music, Voiceovers, Photographers, Illustrators etc.

Award Entry Management support
• Setting up and running award meetings
• Creating CPA for awards 2020
• Ensuring award deadlines are met, getting as many entries into early deadlines as possible
• Managing awards budget
• Manage the creation of accompanying copy, boards, images, case studies and MP3’s
• Ensuring content creators have all the relevant info and examples
• Booking resource and briefing in house production on case studies
• Ensuring all aspects of the entry are addressing the questions / category type
• Creating credits doc
• Ensuring all aspects of the entry is signed off by the ECD/CCO
• Liaising with award reps on entry deadlines, additional costs, entry content
• Setting up entries and entering all relevant data per entry
• Submitting entries, saving down invoices and sending them to finance to bill
• Monitoring emails arounds awards shows and notifying relevant parties
• Be the point of contact for the Accenture awards teams and will need to provide various updates


  • You must demonstrates excellent organisation/project management skills
  • Personnel management includes all levels in the organisation
  • Competent user of Word, Outlook, PowerPoint and Keynote to complete all reasonable functions
  • Have excellent attention to detail
  • Take your own initiative to learn more about the business
  • Ability to plan and meet milestones
